Common User Access Problems


Cannot Log into REDCap

If you are are encountering issues trying to log into REDCap.

OHSU User

REDCap authenticates against the OHSU network.

  • OHSU personnel log into REDCap with their OHSU username and password.
  • OSHU personnel not on OHSU's network will use Duo or email for 2 factor authentication. 
  • The "forgot your password” link is not for OHSU personnel.
  • If you are having issues with your OHSU log in credentials, please contact ITG, and let them know you are unable to log into REDCap using your OHSU username and password AND that REDCap is an OHSU network authenticated (LDAP) application.

Non-OHSU User

  • Ensure that an account has been requested and set up for the external user.
  • 2 factor authentication must be completed via the email option; the Duo option is for OHSU users only.
  • The "Forgot your password" link on the login page provides a mechanism for non-OHSU users with REDCap accounts to self-manage their forgotten or lost passwords.
  • If user does not receive an email with instructions, please contact REDCap Team at redcap@ohsdu.edu to verify the email address associated with the account.

Cannot Add a User to Project

If you are encountering issues trying to add a user to your project.

User Rights

  • You need the permission to User Rights module to add and remove users and set their permissions.
  • If you do not have User Rights permission, check with the person who built and/or is managing the project and they can add the user or give you User Rights permissions.

OHSU Users

  • OSHU personnel are added to REDCap projects with their OHSU username only, whether or not their username appears in the drop-down list for adding a user *

  • Make sure you have NOT added the user with their OHSU email address.

  • If you have added a user with their OHSU email address, remove the user, and add the user back with their OHSU username.

*If an OHSU user does not appear in the drop-down list, it means the have never logged into REDCap, confirmed their identify and associated their email address with their account. This means you can add the user to the project but REDCap cannot send any emails to the user until they log in.

Non-OHSU Users

  • For personnel external to OHSU, the REDCap will first need to create a REDCap account before the project/study team can add the external personnel to their project.

    • The personnel who requested the account will receive an email notification when the account(s) is created with information about how to add the user to their project.

Cannot Access a Project

If you have been added to a project but cannot access/see the project when you log into REDCap.

Contact the personnel who built the project or who added you to their project and review with them the information below to ensure they have added you to the project correctly.

OHSU Users

  • OSHU personnel are added to REDCap projects with their OHSU username only, whether or not their username appears in the drop-down list for adding a user.

  • Make sure you have NOT been added to the project with your OHSU email address.

Non-OHSU Users

  • The REDCap Team first creates a REDCap account before the project/study team can add the external personnel to their project.
  • The personnel who requested your account is responsible for adding you to their project once the account is created.
  • The personnel who requested your account is responsible for renewing it for continued access each fiscal year.

Cannot Perform a Specific Task or Operation on a Project

If you are a user on a project and cannot perform a specific task, such as exporting, adding another user, creating a report, etc.

Contact the personnel who built the project or who added you to the project to check and adjust your user permissions.

No One on the Project has User Management Permissions

This means no user on the project has access to the User Rights module, and typically, happens when the person who built and/or managed has left the institution.
  • Contact the REDCap Team at redcap@ohsu.edu and include the exact title of the REDCap project and the name of the PI (or data steward for a non-research project).
  • REDCap Team adds to the project the PI for a research study (or data steward for the non-research project) and enables access to the User Rights module for this personnel .
  • The PI (or Data Steward) adds users to the project.

User's Account Suspended

If when you log into REDCap a message appears on the screen informing you your account has been suspended.

OHSU Users

  • If when you log into REDCap with your OHSU username and you get a message that your REDCap account is suspended contact the REDCap Team at redcap@ohsu.edu.

Non-OHSU Users

  • Accounts for non-OHSU users expire annually, at the end August, or at the request of the account's Sponsor (person who requested your account).
  • Contact the personnel who are managing the REDCap project you had access to or who sponsor your account to request your account be renewed or unsuspended.
    • The sponsor of the account will need to request the account be unsuspended or renewed.
